Knights of Columbus Council 7880 Website Help

The help pages work like an accordian. Click the title name, a page will open with some helpful information about the topic. Click the title again and the page will close. 

Our Story - provides a brief description of who the Knights of Columbus are and what is there importance to the local community. 
Officers - provides a picture and brief description of the each office'rs responsibility in the local 7880 Council.
Add/Delete/Edit Contacts - enables the user to maintain contacts associated with the 7880 Council. Each button provided will functions to Add, Edit and Delete a contact. The Add Contact button opens a form to identify the contact information. Each contact previously identified in the database is listed on the screen. To Edit the contact information click the blue Edit button next to the contact name. Swipe and replace the information in the form that appears. Click the Save button to update the database. Each contact also has a Delete button next to their Email Address. Click this button then confirmation button to delete the contact.
Contact Listing - displays the contact information. The listing can be sorted by clicking on the column name or can be searched typing in the Search box provided. 
Classified Council Entry - allows the user to enter information for a Classified Ad for a number of different types of reason. Provide as much detail information for the ad. Click the Send Email button to notify the council officers and someone will get back to you.
Classifieds Council Report - this report is accessed by a limited number of users on the site. The report is used to review the added classified ads. The user can Search for an add or view a group of 10 ads at a time.
Location/Directions - provides a Google Map with driving directions from the center of Parker, CO.
Prayer Library - provides links to documents on the Holy Rosary, the Rosary Pledge and Mother Seton Prayers from Seton Shrine. 
Literature - Spiritual References - provides links to various Knights of Columbus sites (Faith in Action, Supreme Council and Colorado State). You can also review a number of Spiritual Tools. 

Meeting Minutes Report Listing - view meeting minutes notes. The reports are listed by the report date. The current report is listed first followed by prior meetings. Click the Name title to open the file. 
Treasurer's Report Listing - view the treasurer's report. The reports are listed by upload date. The current report is listed first followed by prior meetings. Click the Name title to open the file. 
4th Degree Report Listing - view the 4th Level report.  The reports are listed by upload date. The current report is listed first followed by prior meetings. Click the Name title to open the file. 
Recruitment - review the report provided by the Director of Membership Growth providing guidance on recruitment strategies. 
Knights Insurance - learn about Knights of Columbus Life Insurance and how to obtain it. 
Knights Apparel - go online to purchase Knights of Columbus materials from shirts, hats to an apron.
Fraternal Activity - have you donated any extra time other than the main events we have? If so, click on Fraternal Activities Donate Time then find the Fraternal Title and Activity Name to enter the donated time. To view a listing of Fraternal Titles and Activities Names click here.
Member Directory Listing - need to contact a fellow member? Use this list to locate their telephone number and/or email address. A Search feature can be used to quickly locate the member. Suggest typing the member's last name.
Meeting Attendance Report - view a listing of members who a attended a council meeting. Use the calendar icon to enter the date of the meeting. 
Member Meeting Attendance Report - this feature is limited to a few officers of the council. Use the pulldown menu to find a member by name. The report will display member name, email address and meeting date. 
Council Election - do you want to submit a resume for a Council Officer position? Click on Council Election, Submittal. 
Calendar - this calendar displays events and things to know about the council. Most users have viewing permission only. Those members who have edit privilege must log into the calendar with an ID and password provide by the communication group. To edit the calendar perform these steps:
   Click Log In located in the upper right corner. 
   Enter the user ID and password.
   To make an entry click on the calendar date.
   Fill in the necessary information to create the event. NOTE: If you use the email feature the email address must be one of the knights-parker-7880.org domain addresses. Questions on how to use the domain addresses contact one of your council officers. 
Our Store - Visit our Knights of Columbus Online store. For sale items are listed with a brief description and price. Simply select the item to purchase. It will added to your shopping cart. Click on the shopping cart and then submit your payment. 
Purchase Order Listing - Review your purchase order here. Simply click on the purchase order number to see a detail listing of the order. 

Membership Dues - annual membership fees are due at the begining of each year. Each member can pay via PayPal by using the link provided on the Membership  Dues page. Fees can also be collected by personal check. Follow the instructions on the page. 

Friends - this menu will list organizations that work closely with Council 7880. Look for updated information on these pages. 

Photo Gallery - photos are grouped vai Galleries. The list of Gallery Names are under the green box labeled Gallery Name. To view the pictures in a gallery click the Gallery Name. Each photo is displayed as a thumbnail, a small photo, to view the full photo click on the thumbnail.
Add Photos Request if you need to upload photos click the Add Photos Request button located in the upper right portion the screen. You must indicate the gallery to upload the photos. A pop-up window appears, if a new Gallery Name is needed type it in the Message box or select from the existing galleries. The message box can be used for more additional information if needed, click the Save button.
An email message will be sent to the Communication group to grant permission.
Photo Upload - You will receive an email message indicating you have been granted permission to upload your photos. 10 photos, max photo size of 10 MB are the limits. Click the Photo Upload button. A pop-up window provides a dropzone to click and select or drag and drop photos. Click the Add Photos button. Click the Gallery Name to view your pictures. 

The Story - Information on St. Joseph Kaffee House. How it came about and who to contact for additional help.
Add Event Title - used only by the St. Joseph Kaffee House manager. This program is used update the database on the next coming event. You must specify the event title, event date, start time and the end time of the event. 
(xxx) Event - This title is the most recent event. By selecting this option you are registering to the current event. Once the registration is completed an email message will be sent to the registering party and the St. Joseph Kaffee House manager.
PowerPoint Presentations -  Access and activate a PowerPoint presentation on a past event. (NOTE: Presentations will be available if a member photographer attended the event. 
Kaffee House Event Acceptance Report - view a listing of registered people who attended a Kaffee House event. 

Events - The Knights of Columbus have many charitable events throughout the year. All these events require members to participate for a successful event. Activities are found under the Events menu. The titles are in a yellow box. Each and every event has at least one team member who coordinates the activities. Selections on the menu have permission and general members may not be able to access it.

Coffee and Donuts

Coffee and Donuts Volunteer - to volunteer for the event select time block you are volunteering for. If there any quest who would like to participate enter their name in the Other Name(s) box. Clicking the Yes button registers you for the event.
Coffee and Donuts Edit Events - accessible by the Coffee and Donuts Manager. This page will allow the deletion of the user event. It will also let you alter the number of hours worked by the volunteer. Default number of hours is 2.
Coffee and Donuts Report - This report list all volunteers for the current event. If any of the volunteer information needs to be changed click the link provided.
Coffee and Donuts Event Closeout - when the Coffee and Donut event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
Coffee and Donuts Historical Report - used to view a prior Coffee and Donut Event. Select the date of the event to view the listing. Coffee and Donuts Date Creation - This selection is limited to the officers of the council. It should be used when there is a new Coffee and Donut event.

Pancake Breakfast

Pancake Breakfast Volunteer - to volunteer for the event select the position you are volunteering for. If there any additional workers who would like to participate enter their name in the Additional Helpers box. Clicking the Yes button registers you for the event.
Pancake Breakfast Edit Events - accessible by the Pancake Breakfast Manager. This page will allow the deletion of the user event. It will also let you alter the number of hours worked by the volunteer. Default number of hours is 2.
Pancake Breakfast Report - This report list all volunteers for the current event. If any of the volunteer information needs to be changed click the link provided.
Pancake Breakfast Event Closeout - when the Pancake Breakfast event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
Pancake Breakfast Historical Report - used to view a prior Pancake Breakfast Event. Select the date of the event to view the listing.
Pancake Breakfast Date Creation - This selection is used to enter the next Pancake Breakfast date. This can only be accessed by an officer of the council.

Christmas Party

Christmas Party Registration - this page is used to register you or any special guest. To register yourself look at the bottom of the form where your name appears. Select the number of attendees then make any corrections to your email address and telephone number. Click the Register for the Christmas Party button. If there are special guest that you want to register click the Special Guest Registration button. Complete the form by entering the Guest names, contact telephone number and email address. Select the number of attendees then click the Register for the Christmas Party button. Christmas Party Registration Removal - Click the Yes button to remove your name off the registration list.
Christmas Party Registration Report - view a list of people who registered for the party.
Christmas Party Registration Closeout - when the Christmas Party event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
Christmas Party Registration Historical Report- view a listing of attendees from a previous Christmas Party. Select the Year to view the report.
Christmas Party Volunteer - members are needed to help setup and clean the hall at the end of the evening. To volunteer click Volunteer under Christmas Party Volunteer section. Select the Position Title then click the Yes button.
Christmas Party Volunteer Edit Volunteers - accessible by the Christmas Party Manager. This page will allow the deletion of the user event. It will also let you alter the number of hours worked by the volunteer. Default number of hours is 2.
Christmas Party Volunteer Report - This report list all volunteers for the current event. If any of the volunteer information needs to be changed click here.

Christmas Party Volunteer Historical Report - used to view a prior Christmas Party Event. Select the date of the event to view the listing.

Lenten Fish Fry 
  

Fish Stations - defines a job position. These job positions usually never change and are maintained by the Fish Fry Manager. If a new station is needed click on the Add Station button then fill in the information on the popup window. If a station needs to be updated click the Edit button next to the station name. To delete a statopn click the Delete button next to the station description.
Fish Fry Assignments - a tool used by the Fish Fry Manager to assign a member to a job. Job assignments for each session are maintained in work data table. It is up to the manager to empty this table by answering Yes under the Lenten Fish Fry Assignment screen. To create job assignments you must first select a work date. Assignment use two pull down menus; Station Name and Member Name once each is selected click the Create Assignment button. Assigned positions appear on the right side of screen. To Delete an assigned position click on the Delete button next it.
Fish Fry Assignment Report - can be viewed by clicking on the Fish Fry Assignment Report button on the Assignments screen or by selecting the report from the Events - Lenten Fish Fry section. The report lists the job assignments for the current session. 
Fish Fry Completion  accessed by the Fish Fry Manager. By answering Yes to the 'Complete Fish Fry Event' (NOTE: click this button only when the entire event has been completed) the volunteers will be added to the historical data table and removed from the current session. 

Tootsie Roll Drive 

Tootsie Roll Locations
- accessible to the Tootsie Roll Managers. The tool is used to define a specific location where a member will be placed to offer tootsie rolls to the young and old. To define a new location click the Add Location button. To edit the location information click the Edit button next the the location name. To Delete a location click the Delete button on the location line.
Tootsie Roll Assignments - accessible to the Tootsie Roll Managers. The tool is used to assign a volunteer to a defined location. A location, time and date and member name must be selected. NOTE: If a member cannot be assigned at this time use the Make Available option. Doing this will allow members to assign them self. Click the Add Assignment button to add a NEW assignment. Use the Edit button to change the assignment. Use the Make Available button if the member cannot meet the assignment. NOTE: This does not remove the assignment, it simply makes the position available  again. The Delete button is used to remove the entire assignment. 
Tootsie Roll Manager Change
- accessible to the IT team only and should only be used when there no volunteer for managers at the time assignments are entered. This tool is used to change a temporary manager name to a manger name who has volunteer for a permanent position. Note it will changed all assignments which have been assigned to the temporary manager. 
Tootsie Roll Volunteer - accessible to all members. This tool is used to volunteer to a tootsie roll assignment. Click on the Volunteer button next to the date/time and location for the assignment. A confirmation email will be sent to you as a reminder. 
Tootsie Roll Master Listing - accessible by the Tootsie Roll Manager. It provides a full listing of all assignments displaying who manages, the volunteer and the date/time of the event.
Tootsie Roll Report by Locations - accessible to all members. This report will list all assignments ordered by the location name, assignment date and manager.  Use this report if you need where a member is assigned to.
Tootsie Roll Report by Manager - accessible to all members. This report will list assignments ordered by manager name, location and date. Mangers can use this report to quickly see what positions are assigned and those that are still available. 
Tootsie Roll Year Closeout - when the all Tootsie Roll events have been completed for the entire year this option MUST be Completed. Failure to do this will cause confusion on the next event.
Tootsie Roll Historical Report by Manager- used to view any prior year Tootsie Roll events sorted by manager name. Select the date of the event to view the listing.
Tootsie Roll Historical Report by Location- used to view any prior year Tootsie Roll events sorted by location. Select the date of the event to view the listing.

Easter Egg Hunt

Easter Egg Volunteer- Any member can access this selection to volunteer for the event.
Easter Egg Hunt Volunteers- accessible by the Easter Egg manager. The tool is used to remove an assigned member to the event. Click the Delete button to remove the member.
Easter Egg Hunt Report - accessible by all members. A full listing of members who have volunteered for the event.
Easter Egg Hunt Closeout - when the Easter Egg Hunt event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
Easter Egg Hunt Historical Report - used to view a prior Easter Egg Hunt Event. Select the date of the event to view the listing.

Memorial Day Ceremony


Memorial Day Volunteer - any member can use this selection to volunteer for the event.
Memorial Day Edit Volunteers - accessible by the Memorial Day Manager. This tool is used to remove a volunteer from the event list. Click the Delete button to remove the member.

This report is accessible to all members.

Annual Golf Tournament 

Golf Donations
 - accessible by all members. This tool allows the user to enter donations for the golf tournament. First select the current year. Information gathered is the donator name, address, email, telephone number, donation amount and donation item. To add a donation click on the Add Donator button, To edit an existing donation click the Edit button on the donation line. To Delete a donation click the Delete button on the donation line. 
Golf Donation Report - accessible to all members. This report list by year the donation collected for the golf event. 
New Golf Registration - accessible to all members. This tool allows the user to register for the golfing event. You can register up to four golfers. Enter the member's information who is registering, select the type of registration, enter the golfer name and select shirt size for each person in your group. Payment may made by personal check or credit card the day of the event. Advance payment can be made via PayPal using your personal account or by credit card. 
Edit Golf Registration - accessible by all members, This tool allows the user to edit an existing golf registration. The email used at registration time must be entered to edit the existing information. 
Golf Tournament Check Payment - accessible to the Financial officer only. This tool is used to document a payment with a personal check. To make an entry the team registered email must be known. After the amount is entered a list of teammates associated with the registered email appears. Select only those golfer names the check covers their fees. 
Golf Tournament Registration Report - accessible by all members. This report will list all registered golfers for the selected year. Handy to see the registered golfers. 
Golf Tournament Report to Excel - export the Tournament Registration Report into an Excel document. The items found on the report are team name, registered teammate who completed the online registration, includes name, phone number and email, golfer one through four names and shirt sizes and the payment status for each golfer.
Golf Tournament by Golfers to Excel -  same as the previous report except it is organized by golfer name.

Annual Food Drive

Food Drive Date Creation - any officer can access this selection. This date must be entered before any activity on the next event.
Food Drive Volunteer - any member can use this selection to volunteer for the event.
Food Drive Edit Volunteer - only the Food Drive Manager can access this selection. Used to delete member from the volunteer list.
Food Drive Report - list all members who have volunteered for the event.
Food Drive Closeout - only the Food Drive Manager can access this selection. Used to closeout the event. It moves all volunteers to a historical file. 
Food Drive Historical Report - view any closeout year volunteer listing.

Veteran Day Ceremony

Veteran Day Volunteer - any member can use this selection to volunteer for the event.
Veteran Day Edit Volunteers -. This tool is used to remove volunteer from the event list. Click the Delete button to remove the member.
Veteran Day Report - accessible to all members, This report will list all volunteers for the event.
Veteran Day Volunteer Closeout - accessible only by the Veteran Day manager. When the Memorial Day event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
Veteran Day Historical Report - used to view a prior Veteran Day Event. Select the date of the event to view the listing.


Fishing Derby

Fishing Derby Registration - accessible to all members and visitors. Enter the required information to register. It is a great time for everyone. Note the Fishing Derby manager will receive an email confirmation for registered party.
Fish Derby Acceptance Report - accessible to all members. View a listing of all registered people who plan to attend.
Fishing Derby Closeout - accessible only by the Fishing Derby manager. When the Fishing Derby event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
Fishing Derby Historical Report - used to view a prior Fishing Derby Event. Select the date of the event to view the listing.


July 4th Celebration 

July 4th Celebration Volunteer - accessible by all members.  Use this tool to volunteer for the event. Time and date will be provided.
July 4th Celebration Edit Volunteers - accessible only to the Officer members. This tool is used to edit the volunteer list. It allows updating to the donators hours and to delete the volunteer from the list.
July 4th Celebration Report - view a full listing of those members who have volunteered for the event.  
July 4th Closeout - accessible only by the July 4th manager. When the July 4th event has been completed this option MUST be Completed. Failure to do this will cause confusion on the next event.
July 4th Historical Report - used to view a prior July 4 Event. Select the date of the event to view the listing.

Update Profile - accessible to all members. Use this tool to update your personal information. 
Update Password - accessible to all members. Use this tool to update your password to this website. The password must be at least eight characters and any combination of letters, numbers and special characters.

Officer Updates - the remaining options are accessed by the council officers. Each selection is also limited to the permission assigned to the officer. 

Member Number Generation - only the financial secretary can access this tool. The tool is used to add New Knights of Columbus ID number. 
New Membership Request Report - only the financial secretary can access this report. The report will list those individuals who completed a new membership form found on the Visitor Home Page, Learn How to Become a Knight. 
Edit/Delete Knight Member - accessible only by the financial secretary. This tool allows the user to update or delete information on a Knight in the council 7880. Use the Edit button on the member line to update a knight's information. Use the Delete button to remove the individual from the council. 
Meeting Minutes Upload - accessible only by the Recorder. This tool allows the user to upload a new meeting minutes report. The report will be listed by the title. The report listing will include the time of the upload. 
Treasurer's Report Upload - accessible only by the treasurer. This tool allows the user to upload a new treasurer report. The report will be listed by the title. The report listing will include the time of the upload.
4th Degree Report Upload - accessible only by a member who has been assigned the permission of a 4th Degree Manager. This tool allows the user to upload a new 4th Degree report. The report will be listed by the title. The report listing will include the time of the upload.
Member Authorization - accessible by members who are assigned the admin permission. The tool is used to add/remove permission levels to/from members on this website. A member can be assigned to any number of authorized permissions. Every page on the website is assigned a level of permission. If the member has that permission they can access the contents of the page. There are also individual server permissions which allow the user to access various data tables. 
Meeting Attendance -  accessible to those members assigned the Officer permission. This tool is used to sign members into a membership meeting. The first action to take is click the Close Meeting Attendance? button. This operation will move entries from a previous meeting to a historical database. Next select the meeting date. Members who attend the meeting should find their name then click on the Attend button. A Search area is provided to locate the member name. It is suggested that the last name be entered. 
Photo Gallery Permission - accessed by the Communication team. This tool is used to grant permission to upload photos to the website server. After permission has been granted an email message will be launched to notify the member to upload their photos. 
Purchase Item Inventory - Add Items for purchase in our store. Enter the item name, item description, price and number on hand. Once the item has been added it appears in the store. Note: if the quantity number becomes zero it will no longer appear in the store.
Annual Member Statistics - This report is accessible by the officers of the council. It displays the statistics on each event throughout the year. The total occurrances, the total number of members who particiapted, the total number of work hours and the average number of members per event.
Finances - accessible by the Financial Secretary, Treasurer, Grand Knight and Deputy Grand Knight. This area is used to maintain the council budget and Financial Business Accounts.

Edit Knights in Memoraim - accessible only to the Grand Knight and Deputy Grand Knight. This tool is used to add/edit and delete knights on the memoraim list. The Add Member button is used to add an entry. The Edit button allows infomation to be updated. The Delete button will delete the Member from the list. 
Knights in Memoriam Report - all members can access this report. The report list all Knights of Columbus 7880 Council members who have passed before us. 
Prayer Request - accessible to all members. Enter anyone (fellow Knight, family member or friends) who needs our prayers. Keep the Grand Knight informed on any updates to this prayer  request. 
Prayer Request Report - accessible to all members. A full listing of prayer request at the present time. 
Good of the Order Title - accessible to only to officers. Reasons for prayer request. 
Delete old Prayer Request -  accessible to only to the IT team. Prayer request 90 days and older than the current date will be deleted. Once a prayer request is removed it cannot be recovered. If a particular request needs to be remove use the Prayer Request link then click the Delete button next to the prayer request.
